MAIN PURPOSE OF THE JOB

1. Provide applicants to the housing register with pragmatic advice about all available housing options.

2. To provide a full range of administrative support to the whole of the Lettings Section, including raising purchase orders, payment of invoices, and setting up and maintaining data basis.

3. Register, maintain, update and review applications to the housing list. Includes identifying cases of suspected fraudulent applications and referring these to the Team Manager.

4. Liaise with all interested parties about applications to the housing register and offer best practice assistance.

5. Participate in the rota for the provision of the Housing Advice Telephone Service that provides first point of contact for all Lettings enquiries.



DUTIES & RESPONSIBILITIES


6. Provide administrative support to the Lettings Team, including, not exclusively, typing, photocopying and logging in-coming and outgoing correspondence and the registration of new applications.

7. Provide applicants to the Housing Register with best advice on the Council's lettings policy and procedure. Help, support and encourage them to make informed, pragmatic decisions about all available housing options.

8. To undertake a range of a range of administrative tasks including, but not limited to maintaining a filing system, photocopying, scanning, ordering stationary, furniture and equipment, organising subscriptions, administering invoices.

9. Provide an initial point of contact for all customer and other enquiries and maintain a duty service to allow applicants to discuss their housing options, to support those who need help completing lettings forms, and to offer advice on statutory and Council policy obligations.

10. Provide a first class housing options telephone advice service, on a rota basis, as well as meeting clients at reception to give face to face information

11. Maintain a referral system to the Assessment and Attainment Team.


12. Promote the Council's lettings policies and strategies with special regard to maximising the use of all of the Borough's available social housing stock.

13. To register new applications within agreed deadlines, and to ensure applications remain up to date

14. Protect the Council's resources by identifying and investigating fraudulent applications to the housing register.

15. Deal with enquiries from all interested parties, (written, telephone and face-to-face) providing effective information and advice to them about the Council's lettings policies and procedures.

16. Carry out all administrative processes necessary for non-complex and low priority cases, including liaison with other Council teams and directorates.
